TERMS & CONDITIONS

Luxury Rabbit Boarding



Once your booking is confirmed this forms a contract between us and you (the customer).


1. FIRST TIME BOOKINGS

We will need your:

1. Booking form,
2. Vets form (with pet insurance details) and 
3. Proof of vaccinations.

When you send these we will review your booking and send a payment link to collect your deposit.


2. VACCINATIONS

Rabbit must be vaccinated against Myxomatosis, RVHD1 and RVHD2 - (Nobivac Myxo-RHD PLUS).

Vaccinations must be 'in date' for the whole time your pets are boarding.

Overdue booster vaccinations (given after the anniversary date) this next injection is classed as first time vaccination and we can't board your rabbit until their immunity has built up again - Nobivac Myxo-RHD is 21 days and Yurvac (which some vets offer as well as Nobivac) is 7 days. There are no exceptions.


3. SPAYED & NEUTERED
All guests must be spayed or neutered.

Neuters and Spays need to be done 6 weeks+ before boarding – so the surgical site can heal and hormones settle. There are no exceptions.


4. PET INSURANCE

Your pet needs pet insurance in place for boarding. A vets 'pet health plan' is not an insurance policy.

Exceptions: Elderly rabbits where pet insurance has been refused. This will be confirmed in writing after discussion.


5. VETS FORM

All *pre-existing medical conditions must be disclosed. Incomplete forms (including missing insurance details will be refused). A veterinary history may be required for clarification on a health status before we can confirm your booking.

• If you move house, change vets, change your phone number you will need to fill in a new vets form.

• If your pet gets a new illness or sees a vet for a medical issue/is admitted to the vets you will need to fill in a new vet form.

*A pre-existing medical condition is any injury or illness that has been investigated, identified or treated by a vet.


6. BOARDING RATES & THE LAST DAY DISCOUNT

Our rates are based on the number of days your pet stays with us, not the number of nights. You pay for each day that your pet is on the premises.

We offer a discounted rate if you collect your pets at lunchtime on their last day. If your pets end up staying the full day – you will need to pay the full day rate.


7. BOOKINGS

A minimum 4 day stay applies for all holidays booked 10+ days in advance.

All bookings are confirmed.


8. ONE NIGHT BOOKINGS

Can only be booked 10 days or less before your pets sleepover.

Full payment is required on booking.


9. DEPOSITS

A £30 deposit secures your booking which is deducted from the total amount. Deposits are non refundable and non transferable to different dates.

Payment links stay active for 3 days, after this we will assume you have changed your mind and the dates will be released.


10. CHANGES TO BOOKINGS

Are subject to availability. Once you pay the balance and days cut short or starting later than booked are not refunded.


11. BALANCE PAYMENTS

Payment links are sent 14 days before the arrival date. Payment is due 7 days before your arrival date.


12. CANCELLATIONS BY YOU

Cancellations must be in writing on WhatsApp or email. Your deposit is non refundable and non-transferable to different dates.

If you cancel between the day of arrival and 14 days before the arrival date then the full amount is still due.


13. CANCELLATIONS BY US

If we need to cancel your booking because of our own ill health/emergency situation you will be fully refunded.


14. HEALTH

For the comfort of all our guests we only board healthy pets.

• You must tell us if your pet becomes sick after you have booked their holiday.

• Past customers must tell us if their pet has seen a vet or been admitted to a vets before they book again.


We can not board pets:

• Who are not vaccinated;

• Who’s vaccinations are out of date or due to run out during their holiday;

• Who have had a first time vaccination or late booster vaccination that was given less than 21 days before the arrival date;

• Who not been neutered (male) or spayed (female);

• Who do not have a pet medical insurance policy in place (unless discussed and confirmed by us);

• Who arrive with mites;

• Who arrive in ill health;

• Within 21 days of a sedation/general anaesthetic;

• Who have a contagious condition;

• Who have a history of snuffles/pasteurella;

• Who have an active E. Cuniculi (EC) infection;

• Who have had a past diagnosis of EC - but not had a 9 day course of panacur before boarding;

• Who have had GI stasis due to 'the stress of boarding' previously (with us or elsewhere)

• Who have had GI stasis within 21 days (3 weeks) of boarding - a vets ‘fit to board note’ will be required to board with us along with the assurance that the cause of gut stasis has been addressed;

• Who arrive with medication or a pre-existing condition that has not been discussed with us beforehand.


15. MEDICATION

Any medication needs must be discussed with us before you drop your pet off.

Prescribed medicines must arrive in the packaging and bottle dispensed by your vets. You will need to fill in a medication form.  LINK TO MEDICATION FORM

A medicine that is given 8 hourly (3 times a day) with a dose being due in the middle of the night is not part of our service. In this case your rabbit will need boarding at a veterinary surgery or hospital.

The charge for oral medication, cream/ointment/salve, drops or cleansing an area is £1.50 per application.


16. E. CUNICULI & PANACUR

If your rabbit has a diagnosis of  E. Cuniculi they must have a 9 (nine) day course of Panacur right before boarding.


17. DIRTY BOTTOMS – MATTED FUR AND MITES OR FLEAS

If your pets arrive with dirty bottoms, matted fur, mites or fleas we will refuse boarding until they have been cleaned up, successfully treated and any mats removed.


18. SICKNESS WHILE BOARDING

If your pet needs to see a vet we will contact you straight away.

Under the vets instruction most minor ailments can be managed here - there is a charge for giving medication. See point 15.

Gut Stasis or reduced appetance - we reserve the right to take your pet to Ashleigh Vets or and Out Of Hours animal hospital where they will be monitored, medicated and given support feeding round the clock.

A deposit may be required on admission - (around £212 September 2025) and all vets fees must be paid by you (the owner), by telephone at the end of the consultation.

The Garden Lodge Bunny Retreat is NOT responsible for any vets fees.

If your pet stays at the vets - any unused boarding days are not refunded.

We charge £15 an hour for each journey to and from the vets and there is an extra charge to administer any treatment.

Sadly, rabbits can deteriorate quickly, despite having medical treatment. Should your pet pass away you will be contacted immediately to discuss your wishes.


19. PET CARRIERS

We only accept PLASTIC pet carriers which need to left with us in case of an emergency evacuation or vets visit. For safety reasons we do not accept fabric carriers.


20. NEW PARTNERS

Newly bonded pairs need to have been bonded for 3 months (without incident) before they can board together in the lodge.


21. MALE/MALE BONDED PAIRS

We DO NOT board male/male bonded pairs due to hierarchy issues in a new environment.


22. GIANT RABBITS

Our suites are not suitable for giants and giant cross breeds of rabbits.


23. FIGHTING

If your bonded rabbits start fighting they will be separated and you will be charged the daily rate for the additional suite or pen.


24. ABANDONMENT

If you don't collect your rabbit/s within 7 (seven) days of the arranged collection date and we have not heard from you, your partner, or emergency contact then we will assume you have abandoned your pet and arrange for them to go to a rehoming centre. You will be invoiced for all the extra days spent here.


25. INVOICES

Any unpaid invoices will be referred to our Pet Business Insurance company for them to instruct a debt collection agency to act on our behalf.


26. BREACH OF CONTRACT & TERMINATIONS
We will only terminate a booking if the customer is in breach of our Terms & Conditions.
Under the Animal Welfare Act 2006 sections 4 & 9 we have a duty of care to protect ALL the pets in our care.
We are within our rights to terminate a booking if you arrive with a pet who we can not board due to the items listed on point 14.
If your rabbit becomes sick with a condition where you have failed to disclose material facts by withholding 'vital' information (making your pet unsuitable for boarding) then your current boarding contract will be terminated immediately, transferring your pet into the care of the vets or your emergency contact.
You will be liable for all veterinary fees and any remaining days will not be refunded.

Under Contract Law where a breach of contract happens by the customer, the other party (the business) is often entitled to seek a remedy from the customer that has not met their responsibilities under the contract. 
The most common remedy for a breach of contract is to recover financial losses that have been incurred by the customer who is in breach. This remedy is called damages. The damages in our situation is the financial loss we will incur should we need to terminate your booking or remainder of your boarding period as we are very unlikely to be able to re-let the suite at such short notice. Therefore, we will not refund any monies for breach of contract where you are at fault. By law if we are able fill all or part of the vacancy then a pro-rata refund may be issued - less any days that your pet was in situ and less fees incurred taking your pets to see a vet or other fees incurred to us.

27. LIABILITY

Small pet boarding establishments do not need a licence. We do our very best to limit the risk of illness, injury and disease and the Garden Lodge Bunny Retreat are released of all liability if anything does happen while your pet is in our care. Mites are naturally found in bales and packs of hay - we can not be held responsible for your pet picking up mites.


28. PRIVACY POLICY

Your personal information (data) is the information you give us on our booking and vets forms.

This is Your Name, Your Address, Your Telephone Number, Your Email Address.

We use this information to fulfil your booking and send your pets holiday updates. We keep this information for 6 years. Some correspondence may be shared to a vet if your pet is sick whilst boarding or to our legal representative if legal assistance is required.

If you want us to delete this information please email us at gardenlogebunnyretreat@gmail.com and your data will be deleted from our digital files within 30 days.
